Version 4.3.4 – June 18, 2011

Enterprise-Level Enhancements:

Asset Allocation Dashboards – The ‘Asset Allocation by Security Class’ and ‘Asset Allocation by Security Type’ dashboard inserts have been updated to include the total value of the assets depicted in the insert.  This update affects the inserts configured at both the Enterprise and the Entity Dashboard level.   The Total Value dollar amount is located in the bottom right corner of the insert and reflects the total market value of the assets as of the date selected from the As Of dropdown.

Enterprise and Entity Accounts Payable Updates –  Enhancements have been made to the Enterprise and Entity Accounts Payable Modules to provide increased efficiency when managing Payment Cycles. The default settings for the Payment Cycles screen will now initially display only payment cycles that have not been printed, instead of all payment cycles.  Previously printed payment cycles can be viewed by changing the search parameters and selecting the Printed box.

Data Extraction API – Enhancements have been made to the ATWeb outbound API (Application Programming Interface), which may be leveraged for programmatically extracting data from the application.  Information such as transactional, positional and investor data is available via the API.  The extracted information may then be used for additional analysis, reporting, or for import into other applications.  Please contact Archway if you would like to learn more about the service.

Investor Login Pie Chart Update – ATWeb’s Investor Login provides an overview of the investor’s performance via a Chart view or Income Statement view.  When the Income Statement view is chosen the investor is presented with a data grid format of income statement account values.  To the right of the Income Statement view are 2 pie graphs depicting the Revenue and Expenses that have been allocated to the investor.  Each pie graph has been updated to include a label for Revenue or Expense.

Session Activity Timeout As an added layer of security, a limit will be placed on periods of inactivity while a user is logged into ATWeb.  If a user’s session remains inactive for a period of 30 minutes the user will be logged out of ATWeb.

Entity-Level Enhancements:

Accounts Payable Distributions:  Update to Default Values –Distributions added through the Accounts Payable module (Modules → Accounts Payable → Distributions) have been updated to set default values for the Amount and Return of Capital fields to zero (0).  Prior to this release, both fields defaulted to nil which required the user to input a value prior to saving.

Management Fee Billing through Accounts Receivable

AR Recurring Invoices – Fee billing enhancements have been made within the Recurring Invoices feature of the Accounts Receivable Module (Modules → Accounts Receivable → Recurring Invoices).

  • Billable Balance Overrides – In addition to the previous ability to generate invoicing based upon the asset basis of other Entities within the ATWeb Enterprise for fee billing purposes, users now have the ability to override the billable balances for billing purposes only. A billing override will not affect the General Ledger or other subsidiary modules.
  • Mass Updates to Fee Characteristics – Users now have the ability to mass update fee structure settings configured through Accounts Receivable Recurring Invoices for fee billing purposes.  The enhancement includes the ability to update Fee Tiers, Exclusions and Code Block settings across all invoices within the billing Entity at once.
  • AP Integration – When configuring Accounts Receivable Recurring Invoices within the ATWeb billing Entity, users may now optionally designate that an offsetting Accounts Payable bill automatically be created within another ATWeb Entity when the AR invoices are generated (e.g. management fee billing).  This new capability will also allow users to affect the appropriate expense account within the Entity being charged the fee, in addition to the previous functionality of directly affecting the desired equity account.

Open and Close Dates on Entity and Portfolio – Updates have been made to the Open and Close Date functionality for Entities and Portfolios.  A new checkbox has been added titled ‘Exclude from Display’, which will remove the Entity or Portfolio Name from many lists throughout the system.  This includes access through Enterprise and Entity level menus, as well as report parameters.  The general exception to this rule is Add/Edit screens in ATWeb.  Since excluded Entities or Portfolios could have existing records assigned them, the Entities or Portfolios will continue to be displayed in these screens.  For example, the Add Journal Entry screen includes an Entity and Portfolio selection.  The lists will continue to include excluded Entities and Portfolios.  A description of each feature is listed below:

  • Entity
    • Location within ATWeb:  Modules → Setup → General Ledger → GL Basics
    • Functionality:  Open Date is for tracking purposes only.  The Close Date field will determine if an Entity appears in the Entities list.  If the Close Date is prior to today’s date, the Entity will not appear in the Entity list.  If the ‘Exclude from Display’ is also selected, the Entity will no longer appear in the above mentioned drop-downs lists throughout the system.  Entities that have been flagged to ‘Exclude from Display’ are also excluded from Operation Chain functions.
    • Portfolio
      • Location within ATWeb:  Modules → Setup → Portfolio Module → Portfolios → Basics Tab
      • Functionality:  Both Open and Close Date fields are for information and tracking purposes only.  Closed portfolios will appear in all available portfolio drop-down lists unless the ‘Exclude from Display’ option is selected.  When this option is selected, the Portfolio is no longer available to be selected from many drop-down lists throughout the system and in report parameter screens.

Search Parameter Updates The default ATWeb filtering values have been updated to allow for increased search efficiencies.  Search parameter fields that support numerical searches will now default to  ‘ – 999999999’ to ‘999999999’.  ATWeb Modules that are impacted by the update are as follow:

  • Accounts Payable
    • Bills
    • Distribution
    • Recurring Distributions
    • AP Payments
    • Account Receivable
      • Payments
      • Portfolio
        • Transaction Journal
        • General Ledger
          • Journal Entry Search
          • Investor
            • Capital Actions – Capital Calls

Reporting Updates

Reports – The following reports and report updates have been released to the Reporting Module:

New Reports

Payment Register (Bill to Entity)  –  The Payment Register (Bill to Entity) report is an enhanced version of the existing Payment Register report.  New additions to the report include a column to reflect which Entity incurred the expense for the bill being paid and a column to display the bill number of the bill being paid.  An additional ‘Vendor’ tab has been added to the report parameters to allow users the option to isolate payments made to specific vendors within a single Entity or across multiple Entities.  Options to include subtotals and page breaks are also provided at run-time, along with three Sort By fields.  The Payment Register (Bill to Entity) is available through Modules → Reporting → Reports → Accounts Payable Reports.

Statement of Assets by Account Class – The Statement of Assets by Account Class leverages General Ledger Account Classes in order to present a customized version of an Entity’s assets and liabilities, as of a date specified at run-time.  The report parameters allow users to select up to two Account Classes for display, with additional selections that dictate how the underlying Account Class Options should be displayed on the report.  If an Account Class Option is selected in the Summary list, the total balance of the Account Class Option will be displayed in aggregate.  If an Account Class Option is selected in the Detail window, the underlying GL accounts assigned to that option and their balances will be displayed.  The Statement of Assets by Account Class report is available through Modules → Reporting → Reports → Financial Reports.

Trust Balances (Alternate Presentation) – Based on the original Trust Balances report, the Trust Balances (Alternate Presentation) includes additional parameter selections at run-time, in addition to new fields in the report output.  An option to select an Entity Class is provided at run-time, along with the option to sort the output by the selected Entity Class or by Entity.  The report will still display the breakout between Principal and Income Cash.  New additions to the report include a value for Cash Equivalents (defined by a Security Master flag), Tax Cost of all assets, and Net Worth.  These values are reported at an Entity level.  Multiple Entities can be included in the report by selecting more than one Entity at run-time.   The Trust Balances (Alternate Presentation) report is available through Modules → Reporting → Reports → Trust Reports.
